Personal assistant to the head of property management

Due to growth and increased productivity, a fantastic opportunity now exists for an experienced Personal Assistant with a desire to provide a high level of administrative support to join our busy and successful team. In this position, you will have responsibility for providing Administrative and Property Management systems support with respect to the entire property portfolio. Working alongside the Head of Property Management your role will be critical to the delivery of efficient and effective management of the entire Property Portfolio.

Your role

In this position you will work closely with and provide a full range of support to the Head of Property Management. We are looking for a flexible, team player, who can work autonomously but also enjoys contributing to the wider group.

As a key addition to our team, your responsibilities will include:

  • Liaising with clients as directed
  • Internal and external appointments, inspections and viewings
  • Drafting correspondence, document preparation and procedure management
  • Coordinate meetings and making necessary arrangements
  • High level diary management
  • Answering calls and monitoring emails
  • Assisting in maintaining client databases
  • Proactive compliance
  • General administrative tasks such as filing, photocopying, searches, formatting etc
  • Ad hoc duties as required

What you need

To be successful in this role, you will need strong organisational skills as well as a high level of initiative, energy and enthusiasm and the ability to follow through. Ideally, you will have a passion for property, either professionally or personally, and enjoy working in a fast paced and ever changing environment.

In addition to this, you will possess the following attributes:

  • Flexibility and the ability to work under pressure and manage conflicting priorities
  • Exceptional organisational skills and ability to multi-task, prioritise and delegate

  • Advanced Microsoft application knowledge
