Office Administrator


The Role

Being the first point of contact for customers, clients and internal company departments, this is an important role and would suit a friendly, well
organised individual with a keen eye for detail, who can problem solve, plan ahead and have strong communicative and management skills.

An important function of this role is to ensure the efficient flow of jobs/projects through the system from the development of quotations & coordination of jobs/projects being won, to invoicing and accounts management. .

Whilst this role is autonomous you will be working closely and providing administrative support to the Business Managers as well as providing dministrative support to the Sales Department and Production Department when required.

Key Duties include (but not limited to): -

  • Reception – answering and or directing incoming phone calls
  • Customer service – assisting customers/clients with sales/job enquiries
  • Database entry, maintenance and management
  • Quotation and correspondence preparation, typing and forwarding to clients
  • Diary and calendar management for Sales and Business Managers
  • Preparation and coordination of jobs/projects won.
  • Assisting with account management of clients as required
  • Accounts – invoicing of jobs, following up and chasing of payments,

receipt of payments using Xero ; additional includes sorting & entering of supplier invoices, time-sheets, purchase orders and end of month paperwork for
external bookkeeper.

  • Coordinating business unit meetings – preparing agenda, minute taking, meeting documentation and following up on action items
  • General administration duties – filing, ordering office supplies, general tidiness of office area and any other admin duties
  • Managing company systems and procedures, bringing concerns and flagging suggested improvements to the Business Managers

We seek an experience individual with confidence and maturity to undertake this challenging role. Computer proficiency with knowledge of Microsoft Office is important along with Xero experience an advantage. The position is 40 hour @ casual rate
