The Role

The Facilities Administrator will provide support and assistance with regards to all financial transaction across our account.

The role is based in Melbourne, VIC.

  • Ensuring BGIS systems and client systems are up-to-date
  • Chase vendors for aged invoices and completions of reactive and preventative works
  • Respond to any invoice related queries from vendors
  • Coordinate the issuing of monthly Planned Preventative Maintenance tasks and standard Purchase Orders
  • Provide administrative support for the Account
  • Manage the monthly financial transaction activities
  • Provide finance, procurement and general administration support for the Account
  • Work closely with the Account Manager and Finance and Reporting to ensure all financial reporting is accurate and timely

Skills & Experience

  • Proven ability in working within an integrated services and property model delivering a Property Management, Facilities Management, Project Management and Financial Management Services
  • A high level of demonstrated proficiency in Excel and Word is essential
  • Strong demonstrated experience in relationship management with external clients and contractors
  • Strong attention to detail
  • Strong demonstrated experience in a similar or customer facing role
  • Strong communication skills both verbal and written
  • Ability to manage multiple deadlines
  • Able to respond quickly to change and adopt a flexible/ innovative approach to problems and opportunities
