Administrative Assistant – ENT & OFMS Unit

  • Provide a high level of administrative support to the Directors of ENT & OFM Surgical units

  • Coordinating rosters, meetings, director diary management

  • Act as key contact for the units and communicate effectively with the Multidisciplinary team

  • Create a positive first impression for the ENT & OMFS unit as the initial point of contact for the units ( Email, Telephone or in person)

About Ear, Nose & Throat Surgery & Oral Maxillofacial Surgery


The ENT & OMF unit's administrative & clinical team are based at Moorabbin Hospital. The department houses a small Multidisciplinary team that coordinates the ENT service across Monash Health. The ENT & OFMS unit are involved in the care of patients of all ages and at all Monash Health Hospital sites requiring ENT or Oral Maxillofacial surgical expertise. This is provided by both Junior and Senior Medical Staff, Nursing and Allied health Professionals.


About The Role


The role is required to provide executive assistance and administrative support to the Directors of Ear, Nose & Throat Surgery & Oral Maxillofacial Surgery.


  • Coordination of Director Calendar & diary management inc correspondence management

  • Coordination & admin support for Unit Meetings including preparation of Agenda & minutes

  • Creation & Coordination of Rosters for Medical staff

  • Management of Leave for all ENT staff

  • First point of contact for patients, visitors, external Medical practitioners, internal Stakeholders

  • Key to the efficient running of the busy surgical unit

About You


You are a highly organised assistant with excellent eye for detail. Comfortable working at a fast pace with a wide variety of responsibilities. Excellent written and verbal communication skills are a must, along with previous experience in a medical administrative role.

  • Knowledge of KRONOS payroll system would be advantageous
