Legal Services Support Manager

The position

We are seeking an experienced and innovative business administration professional who can lead the administrative management of our small legal team and support our lawyers in the provision of legal advice to the Authority. As part of the legal team you will oversee and manage the day to day operations as well as contribute to the long term objectives of the section. You will be responsible for a range of reporting requirements, provision of advice and information and monitoring the progress of work. You will operate with minimal supervision and direction and have the autonomy to instigate and lead innovations to improve systems, processes and reporting in order to deliver a high level of service to our clients and stakeholders.

The person
  • You are experienced in communicating effectively with internal and external stakeholders on both administrative and operational/legal matters
  • You are experienced in developing and managing complex administrative systems, managing budgets, and reporting
  • You will have high level skills in word processing, formatting, and working with information technology and in the use of computer software such as Microsoft Office, Adobe and SharePoint
  • You are highly organised, accurate and have an eye for detail
  • You are intelligent, assertive, a natural problem solver and possess a high level of common sense
  • You are self-motivated, independent, reliable, thrive under pressure and able to deal with competing priorities.

  • Lead and manage the efficient running of the Legal Services section administration including managing priorities and deadlines, updating procedure documents, contribute to section meetings and provide training for staff
  • Oversee, monitor and review the section budget, including real time monitoring of budget status and undertake routine, tailored and complex reporting
  • Prepare and coordinate section input into routine and non-routine reporting requirements with minimal direction and in an organised, efficient and timely manner
  • Develop and implement innovations for electronic document management systems, procedures, templates, financial systems (including general legal payment processes), accountability reporting, and other workflow systems including allocation of legal advice requests and contract approvals
  • Apply technical knowledge and inter personal skills to manage complex client enquiries via telephone, email and written correspondence, and provide guidance to Authority staff on routine legal matters, particularly procedural matters ensuring that client service standards are met
  • Prepare, and assist in preparation and quality assurance of correspondence including letters, briefings and board papers for both routine and more complex matters and undertake legal research on behalf of Legal Officers in preparation for the development of formal legal advice
  • Apply a sound understanding of relevant statutory, regulatory and policy frameworks in order to draw conclusions, interpret and apply guidance material and resolve recurring problems.

As an APS employee you may be reassigned to a different set of duties at the same classification level at the discretion of the agency head (CEO), taking account of operational requirements in the agency.

Eligibility requirements & qualifications

  • be able to obtain and maintain a BASELINE security clearance; failure to do so will result in termination of employment.

Essential qualifications:

  • demonstrated high level skills and experience in the use of Microsoft Office suite of products
