Medical Secretary

As the Medical Secretary, you report directly to the Practice Manager and you will be responsible for:

  • Secretarial support to cardiologists

  • Exceptional patient care

  • Assistance to administrative team and other stakeholders.

What you’ll do:

  • Provide timely, accurate and professional secretarial support to the respective cardiologist specialist doctor/s by effective management of diaries, all incoming correspondence, management of GP and referring doctor requests and calls and accurate and timely completion of required correspondence and tasks

  • Provide exceptional patient care ensuring that appointments are confirmed, patients are fully prepared for their consult or test, and any direct inquiries from the cardiologist’s patients are handled appropriately and sensitively and in a timely and professional manner and that all billings are completed accurately and on time

  • Where required, liaise with patients and book any specialized procedures, including arranging anaesthetists, manage and confirm bookings for country clinics and oversee country clinic billing

  • Assist in the effective functioning of the Practice as a whole by supporting other staff and undertaking a range of administrative tasks including answering phones and handling general inquiries, updating accurately updating electronic medical records appropriately in a timely manner

  • Actively participate in all team meetings with a view to continuously improving the functioning of the Practice through better work processes, maintaining supportive working relationships with colleagues, displaying GenesisCare values and exemplary workplace behaviour at all times showing respect and support for colleagues, manager or supervisor, and specialist partners and adhering to GenesisCare Code of Conduct

  • Assist in maintaining the facilities of the Practice to an exceptional standard in order to project a friendly and professional image to patients, professional partners and stakeholders and promote and showcase the GenesisCare brand at all times.

  • Be aware of and comply with workplace health and safety requirements and maintain a safe working environment at all times.

Who you are:

Technical Skills & Expertise

  • Demonstrated understanding of and an ability to provide friendly and efficient patient care and customer service

  • Proven experience to work effectively both independently and in a team environment

  • Excellent computer skills with the ability to quickly learn the relevant medical software platform

  • Exceptional organisation and communication skills with the ability to efficiently work as an effective member of an administrative support team

  • Exceptional phone manner and the demonstrated ability to seamlessly handle competing inquiries

  • High attention to detail and excellent organizational skills

  • Experience working in a fast-paced environment.

Qualifications and Experience

  • Relevant training or qualifications in medical reception

  • Previous cardiology or medical experience

  • Some travel may be required between the GenesisCare sites and there may be a requirement to provide short-term administrative relief in other Practices from time to time where an emergency arises
