Executive Assistant / HR Advisor

We are looking for an Executive Assistant / HR Advisor who will thrive on working within a high performing team. The successful person will be responsible for managing complex and confidential activities related to the executive office, talent acquisition, finance, marketing and general office to support an equal employment oriented and motivated culture.

Key Responsibilities:

  • Proactively anticipating the needs of the CEO and managing the day-to-day affairs of the business.
  • Facilitate day-to-day requests and other critical action items on behalf of the CEO.
  • Resolving various day-to-day issues and problems of diverse scope, requiring independent judgment and critical thinking.
  • Provide a bridge for smooth communication between the CEO and internal departments.
  • Manage relationship with vendors and service providers.
  • Assist with special projects, partnering internally and coordinating with external parties.
  • Assist with presentations, project/tender proposal coordination and administration.
  • Manage procurement of all office supplies of stationery, equipment and furniture purchase, storage and management of all stationery and resources essential for the operation of the office.
  • Perform full lifecycle talent acquisition including all phases from identifying initial requirements to scheduling candidate interviews, negotiating/extending offers, contract preparation and support of onboarding activities - including workstation set up, liaising with payroll, IT account set up, laptop allocation, building access etc.
  • Initiate and manage new-hire processes including professional references, background checks.
  • Personnel leave and timesheets management and reporting it to payroll.
  • Act as point of contact to payroll for all personnel queries, such as leave, pay and benefits.
  • Ensure HR and personnel information is recorded in an effective manner while security and
  • confidentiality are maintained at all times.
  • Liaise with Finance and provide required information and supporting documentation in order process invoices in Xero.
  • Generation of purchase order and client invoices in Xero;
  • Monitor personnel expenditure and manage reimbursements in a timely manner.
  • Actively contribute to company marketing activities as required
Skills/ Experience sought:
  • Three (3) years of Human Resources or other relevant experience
  • Experience leading or participating in process improvement initiatives
  • Bachelor's Degree in Business/Marketing and, or equivalent combination of education and experience required;
  • Experience with new employee onboarding or training.
  • Demonstrable experience of high-level executive support, preferably in a professional service setting such as consulting, human services, legal or accounting.
  • Must be technically savvy and a quick learner.
  • Self-starter, extremely organised and detail-oriented with strong commitment to accuracy.
  • Excellent verbal, written and interpersonal skills with the ability to work and build rapport with candidates, employees and all levels of management
